Facilities Clerk

Summary

Under the general supervision of the Facilities Manager, the Facilities Clerk is responsible for the daily distribution of all incoming / outgoing mail, primary backup switchboard operator and assist with the maintenance of our internal project tracking system.

Essential Duties and Responsibilities

Essential duties and responsibilities include, but are not limited to:
1. Responsible for the daily distribution of all incoming mail and processing of all outgoing mail including Fed Ex/ Ups etc.
2. Ensure postage machine has sufficient supplies such as, sealer, postage ink etc.
3. Answering incoming phone calls and routing them appropriately. Greeting and assisting visitors and internal staff.
4. Assist in maintaining office supplies at a level necessary for proper day-to-day operations.
5. Required to move items (i.e. furniture, water bottles and boxes) upon request
6. Assist internal departments as necessary with special projects and/or miscellaneous assignments.
7. Assist with Track IT ticket monitoring that come in.
Assign the ticket and ensure it gets completed (would serve as back up to Sylvia)
8. Assist with build-outs as required.
Our department takes care of building cubicles for the desk areas, or rearranging offices as needed.
9. Perform other duties as required by the Facilities Director or Manager.

Facilities Maintenance Engineer Spv

This Job Announcement is to fill 1 Facilities Maintenance Engineer Spv position in the ADM Division (Facilities Unit) and is open to the Public .

Job Summary:

Supervises, guides, and/or instructs the work assignments of subordinate staff. Coordinates the engineering, maintenance, renovation, and construction of facilities. Reviews plans and conducts on-site inspections to ensure work is performed according to established guidelines.

Position Duties :

Compiles and maintains cost estimates records and bid tabulation files.
* Conducts field reviews to inspect and assure compliance to maintenance and construction policies, procedures and standards.
* Conducts technical analyses and studies to determine infrastructures, facility and physical plant needs.
* Confirms that work is performed in accordance with all applicable guidelines and established practices.
* Coordinates, plans, and directs maintenance and concrete construction.
* Monitors work of vendors/contractors and ensures that construction projects are completed within established guidelines.
* Interprets blueprints and drawings.
* Manages maintenance, construction, renovation and repair activities.
* Monitors work of vendors and contractors.
* Prepares specifications for new or renovated structures.
* Resolves problems.
* Reviews plans and specifications and conducts on site inspections.
* Supervises and plans work of assigned staff to include, Professional Staff: Construction.
* Conducts routine statewide inspections of signage to ensure compliance with federal and state regulations.

Minimum Entry Qualifications:

Bachelor’s degree in a related field (i.e. Facilities Management, Construction Management, Engineering, etc.) from an accredited college or university AND Two years of related experience (i.e. facilities maintenance or construction management), One year of which as a supervisor OR Five years of related experience, Two years of which as a supervisor OR Four years of experience at the lower level Fac Maintenance Engineer 3 (FEP042) or position equivalent.

***Priority Consideration: Priority will be given to those with 5 years or more of Facilities or Construction Management experience.

Sr. Building Attendant – Facilities and Services

Standard

Position Summary:

Under direct supervision, coordinates and/or performs the activities in one or more housekeeping functions such as general office cleaning, floor and carpet maintenance, trash collection, disposal and retention and grounds maintenance. Provides technical assistance on building housekeeping activities, maintains conference room schedules and performs conference and dining room setups. Performs records management and surplus furniture activities and maintains inventory records. Monitors quality and progress of related activities and assists department management on special projects/events.

Key Responsibilities:
* Coordinates work flow and performs cleaning activities including dusting furniture, floor and glass maintenance, trash collection including disposal and retention; use of industrial equipment and chemicals; movement of furniture; mail room activities; and ground maintenance, etc. Maintains knowledge of proper cleaning and sanitizing techniques. Properly stores and disposes of valuables trash, including labeling and bailing of valuables trash following standard procedures. As needed will assist unit supervisor in training and coordinating the activities of other staff members in cleaning, furniture movement, record destruction procedures and/or mail handling duties.
* Performs setups of conference and dining rooms for meetings and executive dining. This includes movement of furniture, working directly with customers on room configurations, standard installation of the presentation equipment (podiums, microphones, data projectors, etc.). Maintains conference room schedule and notifies management of conflicts. Additionally, may move office furniture within the office and maintain the surplus furniture inventory.
* Inspects and performs grounds maintenance, including landscaping, trimming of trees and shrubs, picking up trash, operating grounds maintenance equipment, etc.
* Performs records management activities including accepting records from departments, properly filing records, completing records inventories, responding to retrieval requests, and properly disposing of records once the authorization is provided.
* Will make deliveries and pickups in Bank vehicles, chauffeur individuals in conjunction with Bank business and clean and service Bank vehicles on a monthly or more frequent basis. Will deliver packages or supplies to departments, and accept incoming shipments on a weekly or more frequent basis.
* Will perform daily or weekly mail activities including, processing incoming mail (including valuables mail), delivering mail within the Office, applying postage and tracking postage by department, handling outgoing packages, etc.
* Will replace light bulbs throughout the building as scheduled, and report to management on supplies and requirements on a monthly or more frequent basis. Will clean and polish Bank vault doors on a scheduled basis using special chemicals procedures on a quarterly or more frequent basis.

Education:
* High School Diploma or GED preferred

Experience:
* Two to five years preferred; Associate’s Degree or 2 years equivalent experience preferred
